Terms of use

What PollyHQ does for you, and what stays with you.

The short version: we help you keep track, and we try hard to get it right — but the dates are yours, and only your insurer can confirm a claim.

1. Who we are, and what PollyHQ is

PollyHQ is a service operated by POLLYHQ LIMITED, a company registered in England and Wales with company number 17456463. It is an organising tool: it reads the insurance policies and personal documents you choose to add, keeps your renewal and expiry dates in one place, and answers questions about your own cover using the wording in those documents.

We are not an insurer, broker, adviser or regulator, and we are not authorised or regulated by the Financial Conduct Authority. We do not sell, arrange or recommend insurance, we do not approach insurers on your behalf, we do not handle renewals for you, and we receive no commission or referral fee from any insurer or broker. We cannot accept or settle a claim, and nothing on PollyHQ is regulated financial, legal or tax advice. Your insurer's own policy wording always overrides anything you read here. If we ever add a service that would be a regulated activity, we will obtain the required authorisation first and tell you before you use it.

2. Reminders are a convenience, not a guarantee

Reminders exist to help you. They are not a promise that a message will be created, sent, delivered, or arrive at a particular time. Email can be delayed, filtered or blocked, a provider can be unavailable, and a date we hold can only be as accurate as the document or entry it came from.

You remain responsible for your own renewal, expiry and statutory dates — including insurance renewals, MOT, tax, passports, licences and any other document you record with us. Please treat the dates shown in the app as your record, and check them yourself before you rely on them. A missing reminder is not evidence that a date has not passed.

3. Cover answers are guidance

When you ask whether you are covered, we look only at your own live, in-date policies and show you the wording we relied on. It is a well-informed starting point, not a decision.

Only your insurer can confirm cover, accept a claim or agree a settlement. Always speak to them before acting on anything you read here, and never delay notifying them because of something we said.

4. Your information must be accurate

  • Check the details we read from an uploaded document; every field is editable.
  • Add renewal and expiry dates where a document does not state them.
  • Keep your email address current, and make sure our messages are not filtered out.
  • Only upload documents you are entitled to hold and share within your household.

5. Household sharing

Anyone you invite into your household can see, add, edit and delete everything in the account. Invite only people you trust with your paperwork, and remove access as soon as it is no longer wanted.

6. Beta access and membership

During our beta, access is free and features may change, be paused or be withdrawn while we improve them. We may contact you about how the service is working for you.

Where a paid membership applies, the price, term and renewal are shown before you pay. We will always tell you before a charge changes.

7. Availability

We work hard to keep PollyHQ running, but we do not promise uninterrupted service. Maintenance, third-party outages and faults happen, and during them reminders and answers may be delayed or unavailable.

8. Limits of our responsibility

Nothing here limits liability that cannot lawfully be limited — including for death or personal injury caused by negligence, or for fraud.

Subject to that, and to the fullest extent the law allows:

  • We are not liable for a loss arising because a reminder was not created, sent, delivered or seen, or because a date we held was wrong or missing.
  • We are not liable for the outcome of any claim, for cover an insurer declines, or for a decision you take based on guidance from our assistant.
  • We are not liable for penalties, fines, prosecution, invalidated cover or travel that is refused as a result of an expired policy, document, MOT or tax.
  • We are not liable for indirect or consequential loss, loss of profit, loss of opportunity or reputational loss.
  • Our total liability to you in any twelve-month period is limited to the membership fees you paid us in that period, or £100 where you paid nothing.

9. Ending your use

You can delete your account and everything in it at any time from the Your data page. We may suspend or end access where the service is misused or used unlawfully. Deleting your account stops all reminders immediately.

10. Changes, law and contact

If we change these terms materially, we will tell members before the change takes effect. These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
